How do you add a payment in Coachably?
TL;DR: Open the Payments screen, click Create Payment, pick the client, enter the amount, due date and a description, then click Save. The payment shows up on the client’s list right away.
How do you add a payment?
- Go to the Payments screen and click Create Payment.
- Pick the client from the list. If you’re adding the payment from a client’s profile, skip this step — the client is already selected.
- Enter the Amount — it has to be a number greater than zero.
- Choose the Due Date. Any date works — today, a future date, or a past one (handy when you’re logging an overdue payment).
- In the Description field, enter what the payment is for.
- Click Save.
Every field is required. If something’s missing or the amount isn’t valid, you’ll see a hint next to the field.
What happens after you add a payment?
The payment lands in the selected client’s Payments tab right away. A new payment has the status Created and shows under Upcoming Payments.
It’s a tracking record — the client isn’t charged automatically. Payments don’t need any payout setup or a card on file.
In the Payments tab, payments are grouped by status: Overdue, Upcoming, Paid, Refunded and Cancelled. A summary at the top shows the totals and amounts.
How do you edit or delete a payment?
- Open the client’s Payments tab and click the payment.
- Change its status (for example to Paid) or edit the details.
- To remove a payment, tap the trash icon at the top and confirm in the Delete Payment dialog.

Can I add a payment without picking a client from the list? Yes, if you add it from a client’s profile — the client is already selected. On the Payments screen you pick the client from the list.
Can the due date be in the past? Yes. You can set a past due date — useful when you’re logging an overdue or already-paid payment.
Is the client charged automatically? No. A payment is a record you track manually. You change its status yourself once the client pays.
